LENSCAPE 2018

This is general information provided for the AIPP Lenscape 2018 Conference (hereafter called the ‘event’). Should you require further clarification of information, please contact the AIPP National Office directly. Seaworld Resort is not able to provide information regarding the conference. 

BOOKING YOUR ATTENDANCE

Delegates choosing to attend the event will be required to make full payment of all monies at the time of booking, with no option for part payment. Registering for the event and completing payment indicates your intention to attend the event for 2-day duration with all inclusions as described by the AIPP. All bookings to attend the event will be conducted via the event bookings website. If you are experiencing any issues in navigating the website please contact the AIPP National Office for assistance. 

ACTIVITY BOOKINGS

There will be a select number of ‘Out and About’ experiences available for delegates to participate in. These will be allocated on a ‘first in, first booked’ basis, with the experience, therefore ‘sold out’ when maximum bookings are reached. Delegates will be notified of openings for bookings and ‘sold out’ status of each experience, with as much notice as possible. 

ATTENDING THE EVENT

The AIPP does not take any responsibility for delegates missing planned sessions during the event. Delegates will be required to monitor their own time and ensure they are at the appropriate location in due time for each session, workshop or activity.

SPECIAL REQUIRMENTS

Should a delegate require a specialised service to participate in the event, such as interpreter services, the AIPP will arrange this for you. You must contact the AIPP National Office via phone or email, within 30 days of the event start date, with information on what services are required, in order to book the required assistance in time. Delegates requesting additional services need to have completed and paid in full for their attendance at the event.

TRAVEL

Delegates are responsible for arranging and funding their own transfers and flights – if traveling interstate or internally – to attend the event. The AIPP takes no responsibility for cancelled flights or loss of time at the event due to delayed or cancelled flights.

Delegates are responsible for making their own way to the event site on each day of the event. The AIPP does not arrange or supply travel to the event site unless otherwise specifically stated. The AIPP takes no responsibility for loss of time at the event due to delays in arriving during the specific event times.

ACCOMMODATION

All delegates, and other accompanying them to the event are responsible for arranging and funding their own accommodation as required. The AIPP has supplied a number of accommodation recommendations, which are promoted as options only. Guests are welcome to arrange their own choice of accommodation while attending the event.

DIETARY REQUIREMENTS

While every effort will be made for delegates who have notified us of specific dietary requirements and allergies, the AIPP and Seaworld Resort take no responsibility for menu and beverages supplied to delegates during the event. Please ensure you notify the AIPP at time of booking of any dietary requirements to avoid disappointment. No changes to the menu can be accommodated during the event.

CANCELLATION POLICY

 In the unlikely occurrence of the event being cancelled, the AIPP will notify all paid delegates as soon as possible. Delegates will be refunded in full for all monies paid to the AIPP for the event. Please note that cancelation refunds generally take 5 business days to process, depending on your financial institution.

REFUND POLICY

Should a registered delegate no longer be able to attend the event, the below refund policy will apply:

  • 30 business days before the event date – $Full refund issued to the delegate
  • 14 business days before the event date – $0 refund issued to the delegate

Please note that cancelation refunds generally take 5 business days to process, depending on your financial institution.

DELEGATE BEHAVIOUR

Delegates are expected to behave in a respectful and socially appropriate manner at all times during the event. This is inclusive of the venue smoking policy and Responsible Service of Alcohol guidelines, along with the local Laws of the State of Queensland. Delegates who display anti-social behaviour will be dealt with at the discretion of the Seaworld security staff and Queensland Police, with the AIPP taking no responsibility for any and all consequences of such action/s.

ADDITIONAL SERVICES

Delegates who wish to partake in additional services within the event venue will be able to do so at their own expense. Please check the Lenscape website for suggestions of activities.

INDEMNITY, DAMAGES AND INSURANCE

The AIPP and Seaworld take no responsibility for any damages to property or equipment brought into the venue by delegates. We recommend that you ensure you have current and valid insurance for all personal belongings. The AIPP and Seaworld take no responsibility for any injury, illness or harm suffered by any delegate during the event or while on the venue property.

MARKETING

By attending the event, you hereby give your permission for any images you may feature in to be used in marketing campaigns, both during and after the event, for the AIPP and our selected event sponsors. Should you wish to waive this permission, you will need to contact the AIPP National Office via email as soon as possible. Marketing of images may be used across, but not limited to, the AIPP, sponsor or related websites and social media platforms.

EARLY BIRD PRIZE GIVEAWAY

The Early Bird Prize Giveaway will be open to all delegates who book and pay (in full) their registration by 11:59pm, Wednesday 28th February, 2018.

The prize winner will be drawn at random at the AIPP National Office in Surrey Hills, Victoria, and will be notified on Monday 5th March, 2018. The winner’s details will also be announced across the Lenscape marketing channels and websites from Monday 5th March, 2018, at the discretion of the AIPP.

The winner accepts that the Sea World Holiday Prize, valued at AUD$2000 comprises of 3 nights’ accommodation in a Premium view room with 2 beds including breakfast for 2 adults and 2 children, unlimited entry to Movie World, Sea World and Wet’n’Wild Gold Coast for 2 adults and 2 children for the duration of your stay, and Australian Outback Dinner show for 2 adults and 2 children on one night of your stay and subject to availability at the time of booking (transfers to the venue not included). Holiday to be redeemed post conference completion (May 7th, 2018) within 12 months of issue date subject to availability. Black out dates applied over Australia Wide school holidays and QLD public holidays.

The winner also accepts that all bookings and communications in utilising the prize will be arranged directly with Sea World, once the winner has been announced. The AIPP is not responsible for management or booking of any elements of the prize for the winner.
